POLICIES AND GUIDELINES FOR EXHIBITING
Exhibition Pre-Installation
Display and installation - Think creatively about the display and presentation of your work in the gallery space and discuss installation/display plans with the Curator/Coordinator. You may need time if you wish to commission special display equipment.
Any changes to the following material must be discussed and approved by the School of Art Galleries Curator/Coordinator -
- Changes to the exhibition format as presented in the initial proposal
- Special installation requirements (No change of wall color is permitted without the express approval of the School of Art Galleries Curator/Coordinator)
- Special arrangements for the opening night, including guest speakers
- Special print requirements
Promotional material (Invitations, Calendars, Poster and Press Release)
The School of Art Galleries are responsible for the production of a bi-yearly calendar detailing the exhibition program. Exhibitors must supply the School of Art Galleries Curator/Coordinator with copy detailing a brief description of the exhibition, artist and title and a high quality image/s for print (Excluding Higher Degrees Examinations).
The School of Art Galleries can also arrange production of an invitation card or exhibition catalogue to advertise the exhibitions at the School of Art Gallery. Printing of such material is at cost to the exhibitors. The School of Art Galleries will be responsible for the design and will arrange for the printing of a standardized document measuring 116x172mm (Excluding Higher Degrees Examinations). All text, images and design notes must be supplied 8 weeks prior to installation. Alterations made to this format should be done in consultation with the Curator/Coordinator; any additional costs must be paid by the exhibitor. By not adhering to the format may result in the cancellation of the exhibition in the School of Art Gallery.
The School of Art Gallery produces a A1 Black and white poster for presentation in a A-frame display unit at building entry.
The exhibitor is responsibile for the production of a Media Release for newsprint & radio. It is best to show School of Art Galleries staff a draft Media Release 1 month prior for approval.
The exhibitor is responsibile for the production of a room catalogue and price list, if applicable.
If an exhibitor of a Higher Degrees Examination chooses to hold an opening event the School of Art Gallery Curator/Coordinator must be informed prior to the invitation production. All cost associated with the production of the invitation is the responsibility of the exhibitor. The invitation design must be approved by the Curator/Coordinator, may be any format, but must contain correct directional information, gallery name, opening date and time.
Exhibition Installation
Exhibitions are installed over Saturday, Sunday and Monday morning. To gain access to the gallery space, you will need to pick up a key and access pass. This can be done Wednesday, Thursday or Friday before your installaion.
Technical support is available on Monday. During this time our technician will focus lights for the exhibition. Exhibitors can choose to be in the space to assist or alternately leave detailed lighting instructions. At no time the exhibitor is to alter the lighting without the consultation of the School of Art Galleries Staff.
If you have specific display requirements it is best you source it yourself. For installation and de-installation the School of Art Gallery supplies the material listed below. On request we can provide ladders, cordless screwdriver and/or a hammer drill.
- Painting supplies: tarps, gallery paint, primer, paint rollers, paint brushes, paint trays.
- Tool kit: box cutters, tape measure, needle nose pliers, pliers, screw driver, hammer, sand paper block, wall filler spatula, measuring string, extension cord
- Basic materials: wall filler, assorted nails, assorted screw driver bits, assorted screws/fasteners, sand paper, binding string, white gloves, dust masks
After use all equipment must be return to the tool kit and paint brushes, rollers and trays must be clean and free of paint.
Loan of Equipment
Some electronic equipment (not including data projectors) is available for loan - check availability with School of Art Galleries Curator/Coordinator. A fully refunded deposit must be left to secure the loan of electronic equipment.
Exhibition Security
Security of the exhibition is the exhibitor's responsibility; the School of Art Gallery takes no responsibility for the loss or damage of artwork and/or equipment in the School of Art Gallery.
Invigilation
Invigilation of exhibitions is the responsibility of the exhibitors. Choosing not to invigilate an exhibition places the work and equipment at risk of theft and/or damage.
Gallery opening hours are 9.30am-5.00pm. Invigilation involves the turning on/off of lights, unlocking/locking of gallery entry doors, placing/returning the A-frame display unit, keeping the gallery in a clean and presentable state.
Exhibition Duration and Openings
One week exhibitions are open to the public from Monday/Tuesday (dependent on installation) to Friday from 9.30am-5pm. The opening event can be scheduled on Tuesday 5-7pm or Wednesday 5-7pm.
Two week exhibitions are open from Monday/Tuesday (dependent on installation) to Friday in the first week and Monday to Friday in the second week. Opening hours are 9.30am-5pm. The opening event can be scheduled for the first Tuesday or Wednesday of the exhibition between 5-7pm.
All opening events must be between the hours of 5-7pm, any change of time must be in consultation with the School of Art Gallery Curator/Coordinator as security must be informed of operational times. The School of Art Gallery supplies the following material for the opening event. This will be supplied at 4pm prior to the opening.
- Alcohol (1 dozen bottles of wine)
- Non-alcoholic drinks (orange juice and mineral water)
- Food for openings
- 1 table for serving food and alcohol
- 50 wine glasses
- Access to a fridge, preparation area and sink
Exhibitor responsibilities for opening event include -
- Preparation of the food and drinks
- Containers for chilling wine and soft drink
- Staffing of the bar
- Clean up area after the opening
- Washing of glasses and return them to storage
- Closing exhibition space and informing security of departure
If an exhibitor of a Higher Degrees Examination chooses to hold an opening event the School of Art Gallery Curator/Coordinator must be informed the week prior to the opening event. The event must take place after the assessment (usually Thursday or possibly the Friday) between 5pm-7pm. All cost related to the opening event is the responsibility of the exhibitor.
The School of Art Gallery supplies the following material for the opening event. This will be supplied at 4pm prior to the opening.
- 1 table for serving food and alcohol
- 50 wine glasses
- Access to a fridge, preparation area and sink
Exhibitor responsibilities for openings include -
- Purchase and preparation of the food and drinks
- Containers for chilling wine and soft drink
- Staffing of the bar
- Clean up area after the opening
- Washing of glasses and return them to storage
- Closing exhibition space and informing security of departure
During the exhibition
Please make yourself available for interviews with journalists and ensure that School of Art Gallery Staff has your current contact details. You are also encouraged to use the exhibition as an opportunity to meet with curators and clients.
Costs to exhibitors
Exhibitors pay all costs associated with -
- the install and de-install requirements including bin hire, if required
- additional food and beverages for the opening
- printing costs for an exhibition invitation or catalogue, if a catalogue or invitation is required
Exhibition De-installation
De-installation is conducted by the curator/organizer/artist on Friday after 5pm. No technical staff will be available in assisting with de-installation. A list of de-installation equipment can be found above in Exhibition Installation. Please make certain that the following conditions are met -
- All work must be removed from the gallery by Friday so as to allow for installation on Saturday.
- The School of Art Gallery must be returned to pre-exhibition condition. The School of Art Gallery supplies filler, sandpaper and paint in order that the walls are patched, sanded and painted.
- The condition of the gallery is checked on Monday morning by School of Art Gallery technical staff.
Exhibitors who have not repaired the gallery will be liable to pay for the repair of the gallery by a trades person at an hourly rate of $60.
